Approvals

Understand why the assistant asks before it changes something, and how to approve, deny, edit or undo an action.

The assistant can read freely, but it asks you before it changes something outside the chat, such as sending an email, creating a task or updating a record. This keeps you in control.

The approval card

When an action needs your approval, a card appears in the chat. It names the action, the app it uses (for example "via Gmail") and shows the details, such as the recipient and the text of an email.

You can:

  • Approve to run the action as shown.
  • Deny to stop it. Add a note in What should change? (optional) and choose Deny and send; the assistant continues with your note.
  • Change the fields on the card before approving. The card then shows Edited, and approving runs the action with your values.

The card labels who started it: You started this or Assistant proposed. Open Details or Show action parameters to see everything that will be sent.

Approvals expire. An expired card says so and no action is taken.

Allow it again without asking

For many actions the card offers a choice beyond a single approval:

You can see and withdraw these in the chat's Context panel, where Always allowed actions can be revoked with a confirmation. After you revoke one, the next call asks again.

Some actions are marked as irreversible. These always ask, and never offer Always allow. The card shows a warning explaining why.

Undo

After an action that can be reversed has run, its card shows an Undo button. Choosing it asks the assistant to reverse that action. The reversal runs like any other action, so it asks for your approval first. If the card says Cannot be undone, ask the assistant instead whether it can help correct the result.

On an older card that only shows Reversible, you can still ask the assistant in the chat to undo the action.

Autopilot

Autopilot, in the Capabilities menu, lets the assistant keep working through a request without pausing after each step. It does not remove approvals: you still approve each risky action.

Approvals in agents and workflows

Agents and workflows can also pause for approval, and other people can be named as approvers. See Runs and approvals and Workflow runs.
