Connected apps

Use your connected apps from a chat, such as searching mail, reading Drive files or creating tasks, and see what happens when an app is not connected yet.

Once an app is connected, you can ask the assistant to work in it. You do not have to pick anything; you describe what you want and the assistant chooses the matching action.

What you can ask

Examples, depending on which apps you have connected:

  • "Find the last email from our accountant" (Gmail or Outlook).
  • "Read the budget file in my Drive and summarise it" (Google Drive or OneDrive).
  • "Create a task for Sam to send the quote on Friday" (the Board).
  • "Draft a reply to this email" and then review it before it is sent.

Reading actions run straight away. Actions that change something, such as sending an email or creating a task, show an approval card first. See Approvals.

Check what the chat can use

In the message box, open Capabilities and then Apps. It shows how many apps are connected and lets you connect more. You can also type / and open the Actions tab to pick a specific action yourself.

When an app is not connected

If the assistant needs an app that is not connected, it does not guess. The chat shows a card, for example Connect Gmail or Connection required, with a Connect or Set up connection button.

  1. Choose Connect

    A sign-in window from the app's provider opens. Allow pop-ups if your browser blocks it.

  2. Approve access

    Sign in with the provider and accept the permissions.

  3. Carry on

    The card says Reconnected — continuing… and the assistant picks up where it stopped.

If you have more than one account for the same app, the chat shows Choose an account.

If the sign-in window is closed before it finishes, nothing is connected. Try again. If the connection later stops working, the assistant tells you, and you can reconnect it under Actions, on the Apps tab.

Whose account is used

A connection is either Only me or shared with the Whole workspace. In a chat, the assistant uses your own account or one your workspace admin shared. An agent that someone else starts can only use a personal connection if it is the owner's. See Connect apps and Actions and connections.

Custom servers

Actions from a custom MCP server appear in the same Capabilities menu, under MCP servers, and each can be switched on or off per chat. Chats show a chip External · via the server's name when an action ran on one. See MCP servers.
