Files and documents

Attach files to a chat, create documents, spreadsheets and presentations in the editor, restore earlier versions, and open a Drive or OneDrive file as an editable copy.

You can give the assistant files to read, and ask it to create new ones. Created files open in an editor next to the chat, where you can change them yourself or ask the assistant to change them.

Attach files to a chat

  1. Open the attachment menu

    In the message box, choose the paperclip (Add attachment or context).

  2. Pick a source

    Choose Upload file or image for a file from your computer, or pick a file from My Drive or Suggested if Google Drive or OneDrive is connected. You can search by file name or paste a link. If no drive is connected the menu offers Connect Google Drive or OneDrive.

  3. Ask your question

    Add your question and Send. The assistant reads the file itself.

If a file cannot be attached, the chat tells you how many attachments failed. A model that cannot read images extracts only the text from an image; AgentWorks switches to a model that can read images when needed.

Create a document, spreadsheet or presentation

Ask in plain language, or use the Create document, Create spreadsheet or Create presentation chips on an empty chat. The assistant shows a file card (Document, Spreadsheet or Presentation). Choose Open in editor to work on it.

In the Editor panel you can:

  • Edit and Save text yourself. In a spreadsheet, use Edit cells, then Save changes as a new version.
  • Edit the text on a slide with Edit text on slide, and duplicate, move or delete slides.
  • Select a passage and choose Edit with AI to ask the assistant to change just that passage.

If the editor is closed, choose Reopen the editor.

When you start a new document, choose Use a template to follow the layout and style of a template you uploaded with Upload template. Templates accept .pptx, .ppt, .potx, .docx, .dotx and .pdf files.

Versions

Every save, and every edit by the assistant, creates a new version. Open Version history in the editor to see them, marked Edited or Agent edit, and choose Restore this version to bring one back.

Save and export

  • Save to folder keeps the file in a folder under Knowledge. See Documents.
  • Export lets you download as Word (.docx), PDF, PowerPoint (.pptx) or Excel (.xlsx), or open the file in Google Drive or OneDrive.

Open a Drive or OneDrive file in the editor

Ask the assistant, for example, "Open the Q3 budget from my Drive here in the chat". If Google Drive or OneDrive is connected, the assistant makes an editable copy in the chat and opens it in the editor.

The copy is separate from the original. Your changes are not written back to Drive or OneDrive. To put the result back, use Export to open or save it there. Very large spreadsheets are cut off, and the assistant says so.
