Knowledge bases
Create a knowledge base, add files and web pages, connect a source such as Google Drive, and use it in chats and agents.
A knowledge base is a collection of documents that the AI searches when it answers. Use one for material that stays stable over time.
Create a knowledge base
Open Knowledge
Choose Knowledge in the left-hand menu.
Choose New
Choose New, then Create knowledge base ("Read-only collection the AI cites in chats. Built for semantic search.").
Name it
Give it a name and confirm. Open the knowledge base afterwards to add documents.
The Free plan includes a limited number of knowledge bases, including your personal one. When you have used them all, the page says so.
Add documents
Inside the knowledge base choose the option to add documents. The Add documents window accepts:
- Files you drop or browse for: PDF, documents, slides, sheets, images, audio and video. Each is converted to Markdown so you can review it.
- A URL: a web page, YouTube transcript, PDF, RSS feed or Wikipedia article.
- Paste text / Markdown for short notes.
- A New table that you define yourself.
Choose Convert & review. On the next step, Review before saving, you can edit anything: what you save is what the AI reads. Tick Anonymize personal data if names, emails, phone numbers or IBANs should be masked. Scanned or image-heavy files are flagged, and you can choose Re-extract with AI vision or add notes. Then choose Save.
Making a document searchable is billed to your wallet per document, including AI descriptions of images and scanned pages. The estimated cost is shown before and after. Searching afterwards is free.
Connect a source
A knowledge base can stay in sync with files in another system. On the knowledge base page, in the Connectors section, choose Add connector and pick a provider:
- Google Drive
- OneDrive
- SharePoint
- Notion
- Slack
- Confluence
The provider must be connected first, see Connect apps. Choose the folder, pages or channels to sync. The section then shows each source, its status and when it Last synced. Use Sync now to refresh immediately and Remove connector to stop syncing; documents that were already added stay in the knowledge base.
Folders can also keep files in sync with Google Drive, OneDrive and other providers. See Documents.
Manage a knowledge base
- Add a Briefing for the AI: a short description of what the knowledge base contains and how the AI should use it. It is added to every chat and agent that uses the knowledge base.
- Search the documents with Search documents in this knowledge base.
- If a document gets stuck while processing, use the retry that appears on it.
- A knowledge base with very many mixed topics dilutes search results, so the page warns you when it grows large. Several focused knowledge bases work better than one big one.
- Choose Share to give people or teams access, and Chat with this knowledge base to start a chat with it attached.
Use it
- In chat: attach it from the
/menu or the paperclip, or start a chat from its page. Answers cite the documents. See Knowledge overview. - In an agent: add it under Knowledge in Setup. See Knowledge and memory.
