Work with folders and files under Knowledge: create and upload files, edit them in the editor, and share a folder.

Documents are the files you and the assistant work on together: written documents, spreadsheets, presentations, PDFs and images. They are kept in folders under Knowledge. Unlike a knowledge base, a folder is not indexed, so the assistant reads its files directly and can edit and create files in it alongside you. Folders are free to use.

In the product these are found under Knowledge, in the list Folders & knowledge bases, and in Recent files.

Create a folder

  1. Open Knowledge and choose New

    Choose Create folder ("Work with folders in chat. The AI can read, edit & create files alongside you.").

  2. Name it

    Enter a Name and an optional Description, then Create.

A new folder starts Private to you. After you open it you can choose Share to share it with a person, a team or the whole workspace. Sharing with a team needs Business or Enterprise.

Add files

Inside a folder:

  • Upload files by dropping them in or browsing. A message tells you how many were uploaded, or which ones failed.
  • Create new file to start from scratch. Choose a file type: New document (Word or Google Docs style), New spreadsheet or New presentation, or Blank file.
  • Create template from file to save a reusable layout, so new files follow your house style. This is for templates, not for adding a document to a knowledge base.

Files that the assistant creates in a chat are saved in a folder too. You can pick the folder in the chat with Work in a folder in the Capabilities menu, or use Save to folder in the chat editor. See Files and documents.

Files can also come from a connected cloud drive. Folders can keep files from Google Drive, OneDrive and other connected providers in sync. The files stay in the cloud, and a folder is read when needed, so syncing costs nothing.

Edit a file

Choose Open in editor on a file. Text files open in an editor where you can format text, add links and tables, and Save. Spreadsheets and presentations open in their own editors. The AI can read and edit the file too: ask it in a chat that has the folder attached.

  • Some files, such as certain PDFs and uploaded Office files, are view-only: they open as the rendered document. Use Download to get the original.
  • If someone else changed the file in another session, the editor offers Reload or Keep editing.
  • Every save keeps a version. See Files and documents for Version history.

Find your files

  • Search all files at the top of Knowledge searches file names across folders and knowledge bases.
  • Recent files lists the newest files, and you can filter by type and switch between list and grid view. Files made in one chat are grouped under From chat.
  • Filter the list of folders by Personal, Team or Organisation.

Rename or delete

Open the folder's menu to Rename folder or Delete folder. Deleting a folder permanently deletes every file in it for everyone who has access, and agents stop using them right away. This cannot be undone. Deleting a single file works the same way.

Use a folder in chat and agents

Attach a folder from the / menu, from Add knowledge in the paperclip menu, or choose Chat with this folder. On an agent, add it under Knowledge in Setup. See Knowledge overview for how folders differ from knowledge bases.
