Workflows

Draw the process once. Let it run every time.

A workflow starts on a new email, a form, a webhook or a schedule. It reads documents, calls your apps and your agents, and stops for a person’s approval where it matters. Each run shows what it did and what it cost.

Triggers

Start on the work, not on a reminder.

Pick how the workflow starts. A new email with an invoice attached, a submitted form, a call from your shop or CRM, a new Jira issue, or a time on the calendar. You can always run it by hand as well.

  • Shared mailboxes too

Watch invoices@ or support@ in Outlook, not just your own inbox.

  • Schedules on Business

Every weekday at 08:00, every hour, the first of the month.

Nodes

Every step you need, with its price on it.

Agents and AI steps for the thinking. Conditions, loops and merges for the logic. Actions in your apps, documents, HTTP requests and code for the doing. Approvals, questions and delays for the people. The palette says what each node costs before you add it.

Several agents

One workflow, several agents, one result.

Let agents work side by side on their part, then merge what they found into one document. Each agent keeps its own instructions, knowledge and approvals, and you can reuse it in other workflows and in chat.

Runs and budget

Every run on record. Every workflow on a budget.

The workflows list doubles as a dashboard: runs this month, success rate, the last 14 days and how much of the monthly budget is used. Open a run to see each step, its input and output, and what it cost. Failed steps can retry.

Examples

Processes teams hand to a workflow.

Finance

Supplier invoices, checked before anyone books them

Invoices arrive in invoices@. The workflow reads the PDF, finds the matching open payable in Exact Online and asks the finance lead to approve. Approved invoices land on the finance board, ready to book. Mismatches go back to purchasing with the reason.

  1. 01Trigger: a new email in invoices@ (Outlook), with the PDF attached
  2. 02AI step: read supplier, amount and order number from the invoice
  3. 03Exact Online: find the open payable for that supplier
  4. 04Condition: does the amount match?
  5. 05Approval: the finance lead approves or rejects
  6. 06Create a board task for bookkeeping, or email purchasing

Sales

A tender response drafted by 3 agents

A colleague fills in a short form with the client and the deadline. Then 3 agents work at the same time: one researches the client, one looks at competitors, one drafts the proposal. The workflow merges their work into a Word document and asks the account manager to approve it.

  1. 01Trigger: an internal form with client, deadline and scope
  2. 023 agents run side by side
  3. 03Merge their results into one brief
  4. 04Document: Proposal.docx
  5. 05Approval: the account manager signs off

IT

New Jira issues sorted before stand-up

Each new issue in the service desk project is read by an AI step that classifies it and writes a two-line summary. Anything that looks urgent is posted to the team’s Teams channel.

App triggers poll every 10 minutes on Free (1 trigger) and every 2 minutes on Business (10 triggers).

  1. 01Trigger: a new issue in Jira
  2. 02AI step: classify and summarise
  3. 03Condition: urgent?
  4. 04Post a summary to Microsoft Teams

Questions

An agent does one job and decides how, within the actions you give it. A workflow is a fixed process you draw on a canvas: this trigger, then these steps in this order. A workflow can call several agents, and add conditions, approvals and documents around them.

Put one process on autopilot, with you still in charge.
