Sharing: private until shared

Understand why what people create stays private until it is shared, and how to share agents, workflows and knowledge.

In AgentWorks, whatever a person creates is visible only to them until they, or an admin, share it. This applies to agents, workflows, knowledge, skills, rules, connections and chats. It keeps work in progress out of everyone's lists and gives you one clear place to decide who sees what.

The rules

  • Private by default. A new agent, workflow or knowledge base belongs to its creator alone.
  • Sharing is a grant, not a copy. People you share with work with the original. Changes by the owner show for everyone.
  • Admins are not an exception for other people's private work. A workspace admin does not automatically see agents or workflows a member built and has not shared. See Roles and permissions.
  • Sharing with a team needs the Business plan. Sharing with individual people works on every plan.
  • The assistant follows the same rules. When someone asks the assistant to list or change something, it only sees what that person can see.

Share an agent

  1. Open the agent and choose Share

    Open the agent and select Share (Share agent).

  2. Pick who

    Search for people under Share with people, or for a team under Share with teams. Teams show up in the same search. The share table also has an Everyone in the organisation row, where your plan allows it.

  3. Pick the access level

    Choose a permission: Read-only (view and run the agent; its configuration is read-only), Can edit (edit the agent's configuration and attachments) or Owner (full control, including resharing, transferring and deleting).

  4. Share

    Choose Share. The list under People with access and Teams with access shows who has what, and you can change a level with Change access level.

Sharing an agent also gives access to its linked skills, rules and knowledge bases.

An agent still in draft cannot run. Share a draft only with people who help finish it, at Can edit or Owner; read access opens once it is deployed.

In the Who has access table you can also set an Approver and the Notify channels (In-app, Email) per person.

Share knowledge, workflows and more

  • Knowledge. A knowledge base is private to its owner until it is shared with a team, with everyone, or with named people. On the Access page the Knowledge tab shows each base's owner and who can use it, with a Share button.
  • Workflows. A member can use a workflow they created, one shared with them, or one given to them or their team on the Access page.
  • Skills and rules. Share them with a team or the whole organisation, or stop sharing again.
  • Connections. When you connect an account you choose Who can use this connection: Only me, or Whole workspace, which lets everyone in the workspace use it and keeps agents working when someone else starts the run.
  • Chats. A chat is yours alone. Share it with colleagues by @-mentioning them, unless Chat sharing has been switched off for the workspace.
