Agency billing
Fund your agency wallet, decide who pays for each managed agent and see what each client costs.
An agency has its own wallet in euros. It pays for the runs and fees of agents your agency sponsors for clients. Clients can also pay for themselves. You decide per client and per agent.
The agency wallet
Open Wallet & budgets in the agency console. On the Wallet tab you see your Balance, the amount Spent on client runs, Spend per client and your Transactions. The balance does not expire.
To add money, choose Top up and enter an Amount in euros. The payment goes through Stripe and the balance is added as soon as it clears. Until the wallet has a balance, sponsored runs are billed through your own subscription wallet.
To fund clients from your wallet, use Send funds on a client's page, or Limit / top up on the client list for many clients at once. See Manage clients.
Who pays for a managed agent
You choose per managed agent; there is no default. When you deploy, Who pays for the runs? asks you to pick Agency pays or Client pays before you can deploy. Later you change it in the agent's Billing dialog on the client's Resources tab.
If you choose Agency pays while your agency wallet has no funds, the dialog warns you: until you top it up, these runs are billed to your workspace balance.
| Option | What happens |
|---|---|
| Agency pays | AI costs come from your agency wallet and runs count against your agency's run quota. The client sees the agent as Unlimited. |
| Client user pays | AI costs come from the client's balance and runs count against their monthly run quota. |
In the same dialog you set the Hosting price (€/mo) and Maintenance fee (€/mo) you charge this client, and a Monthly budget cap (€) on spend from your agency wallet. These are the prices you charge. You invoice your client yourself.
The managed-agent fee
AgentWorks charges a monthly fee for each managed agent. In the same Billing dialog you choose who pays it:
- Your agency pays: the fee is taken from your agency wallet at the start of each month, and you invoice your client yourself.
- The client pays: the fee is taken from the client's own wallet at the start of each month. If the client cannot pay, the agent pauses and you and the client are notified.
If a fee cannot be collected from your agency wallet, the managed agent is paused and you are notified. It resumes automatically once the fee has been recovered.
Client balance
On a client's Billing tab, Balance managed by agency decides who looks after the client's money.
- On: you fund and manage the balance and budgets. The client sees its balance and usage but cannot top up or add a card. Managed agents show a Sponsored by your agency badge.
- Off: the client manages its own balance, payment methods and subscription.
Sponsored-cost transparency decides what the client sees on agents you sponsor: the real cost of every run, or Covered by your agency instead of a euro figure. The client's own resources are not affected.
Billing and usage per client
- Billing in the agency console shows what you pay AgentWorks for agents you sponsor. Per client and per agent it lists Usage, Hosting, Total, Retail (client) and Margin, with a Period filter.
- A client's Billing tab shows Cost to you this period (usage + hosting) by agent, token and hosting cost, the wallet balance and recent transactions.
- The dashboard, the client list and the client page show one figure per client: Cost to you this month — the usage and hosting your agency paid for that client, the same definition as on Billing (hover the figure on the client page for the split). Hosting fees are taken from your agency wallet, like runs.
- Client budgets under Wallet & budgets lets you top up a client's extra usage and override its monthly budget.
For back-office reporting, a developer API key with only the agency-usage:read scope can read each client's monthly run, token and cost totals. See API keys.
Your margin
On Billing, Your margin shows per client for the month: what you charge for its managed agents and workflows, what AgentWorks charged you for that client's usage and hosting, and the difference, also as a percentage. Choose Show agents and workflows to see it per item.
Linked customers
For a linked customer, AgentWorks bills the customer directly and you earn no commission. You still choose per managed agent who pays the managed-agent fee. See Manage clients.
