Manage clients

Create client workspaces, link existing customers, work in a client's page and apply limits or top-ups to many clients at once.

A client is a separate workspace for one of your customers. Under Clients in the agency console you see all of them, with the number of users, Cost to you this month and when each was last active.

Create a client

  1. Open Clients

    In the agency console, choose Clients, then New client.

  2. Enter the details

    Fill in the Organisation name and the Admin email of the person who will manage the workspace.

  3. Create

    Choose Create client. With Send the invitation now switched on, the admin receives an invitation and chooses their own password; you never see it.

To set the workspace up first, switch Send the invitation now off. No email goes out. When you are ready, open the client's Users tab and choose Send invitation under Admin invitation. You can send it again until the admin has signed in. Each user shows Active, Invited or Not invited yet.

New clients start on the Free plan. From the client's page you can grant a one-time 7-day trial of a higher plan, at no plan fee. When the trial ends, the workspace returns to Free unless the client upgrades. A client can only receive one agency-granted trial, ever.

If a company already uses AgentWorks directly, choose Link existing customer and enter the admin's email address. The customer's workspace admin approves or declines the request in the Agency card under General in the Workspace console.

By default a link covers managed agents only: you can deploy, maintain and push updates, and choose billing for those agents. You do not see the customer's users, chats or billing. A linked client shows a Linked badge. It stays a direct AgentWorks customer, billed by AgentWorks, and you earn no commission on it. You can end the link at any time with End link. If the customer asks to end it, you choose Agree to end. Afterwards the managed agents become the customer's own agents.

Open a client

Choose a client in the list to open its page. You cannot sign in as the client; the page gives you the agency's view with these tabs:

  • Overview: balance, activity and the agents you distributed.
  • Users: the client's people. Use Invite user to add one, with the role Member, Team Manager or Admin, and change roles.
  • Resources: what you distributed, including managed agents and workflows. See Distribute to clients.
  • Billing: spend this period by agent, the wallet, transactions and the billing settings Balance managed by agency and Sponsored-cost transparency. See Agency billing.
  • Engagements: what you agreed with this client. See Leads and engagements.
  • Compliance: a read-only view of the client's compliance record, so you can answer an audit request on their behalf. You can generate a report under your agency's branding; the record itself stays the client's.
  • Settings: rename the client, grant the Plan trial, switch modules on or off for this client, and Unlink client.

On the client's page you can also Send funds from your agency wallet and use Distribute resources.

Limit and top up several clients at once

On the Clients list, tick the clients you want, or Select all clients, and choose Limit / top up. Fill in a Monthly limit per client (€), a Top-up per client (€), or both, and choose Apply to selected clients.

The top-up is sent from your agency wallet. The dialog shows the total and your wallet balance. If the wallet cannot cover everyone, top-ups are sent in order until it runs out and the remaining clients are skipped. A result per client shows what was set, sent or skipped.

Budgets per client

Under Wallet & budgets, the Client budgets tab lets you pick a client, top up its extra usage, override its monthly budget and, for clients on a plan with teams, set team and person limits.

On the Settings tab, Unlink client ends your management of the workspace. The client keeps its workspace, data and remaining balance, pays for usage itself from then on, and the agents and workflows you maintained there become theirs. The client leaves your client list.
